Board of Directors Meeting
January 5, 2009
The meeting was called to order at 6:04 pm at the Harmony Library, Fort Collins, Colorado. A quorum was established. Board members present included Leila Russell, Jim Schmidt and Jim Kagan. Sherry Jefcoat was present from Legend Property Management & Real Estate Services, LLC.
The minutes from the previous board of directors’ meetings held on November 4, 2008 were reviewed. A motion was made to approve the minutes as submitted. A second was provided and the motion passed.
OPEN DISCUSSION
WIND DAMAGE
Because of the recent wind damage sustained to some of the townhome roofs, a brief outline was discussed as far as the financial responsibility of the repairs. All roof repairs are the responsibility of the homeowner, but in the event of damage from wind/hail, etc. a claim can be filed under the Association’s insurance. However, the $2500.00 deductible/occurrence is the responsibility of the owners involved to pay.
It was felt that there are many absentee owners in the Association who may not know that their unit sustained damage. Sherry will contact ACC roofing to inspect for damage, and then notify the owners. Again, the cost of repairs is up to the owners to pay. Sherry will also contact absentee owners (any owner can pre authorize Legend to have roofing repairs made when damage occurs) to see if they would prefer to authorize Legend to have emergency repairs done at their own expense.
INSURANCE
The Board will ask the current insurance company, American Family, for a summary of what the Association’s current policy does and does not cover in the event of an emergency or damage to the buildings/grounds.
ACC
The next ACC meeting will be held on January 13, 2009 at 4721 Prairie Ridge Drive. Sherry will attend this meeting to discuss the policies/procedures that the ACC currently has, and to see if any modifications will need to be made to accommodate the ease of receiving, reviewing and responding to residents’ requests.
PHASE II
There are currently 3 new builders interested in constructing homes in Phase II. Their homes will meet the already agreed upon guidelines for the Association, but it was noted that anything not within these guidelines will be discussed with the ACC.
Trash blowing from the construction area is still a problem and Sherry will notify the developer in writing so that he can attempt to have his subcontractors to not allow their trash to overflow and blow away.
SNOW REMOVAL
It was noted that the snow removal contractor is shoveling the sidewalks in front of privately owned vacant lots. Sherry will discuss with Novey the cost to the HOA if any exists.

Monday, March 2, 2009 at 6:00pm at the Harmony Library, Fort Collins, Colorado.
With no further business to conduct, the meeting was adjourned at 7:48 pm.
